1. Purpose

FairSay Ltd is committed to maintaining safe, healthy and supportive working practices for everyone involved in delivering the JustPost platform.

As a small, home-office based software business, FairSay's health and safety responsibilities differ from those of organisations operating dedicated offices, factories, warehouses or public premises. Nevertheless, FairSay recognises that good health and safety practices are essential to protecting people, maintaining business continuity and supporting responsible operations.

This policy outlines FairSay's approach to managing health and safety risks across its activities.

As a tiny company, 'employees' below generally refers to employees, directors, subcontractors and other individuals working on behalf of FairSay.

2. Our commitment

FairSay is committed to:

  • providing a safe working environment for employees, contractors and visitors;
  • identifying and reducing reasonably foreseeable health and safety risks;
  • complying with applicable health and safety obligations;
  • encouraging safe and healthy working practices;

This policy applies to activities carried out by or on behalf of FairSay, including:

  • home-office working;
  • remote collaboration;
  • software development and platform management;
  • business travel;
  • conferences and events;
  • meetings with customers, suppliers and partners;
  • visits to printing and fulfilment providers.

4. Responsibilities

4.1 FairSay Ltd

FairSay is responsible for:

  • maintaining appropriate health and safety practices for its activities;
  • considering health and safety risks when planning work;
  • maintaining appropriate insurance where required;
  • reviewing significant incidents and implementing improvements where appropriate.

4.2 Employees and contractors

Anyone working on behalf of FairSay is expected to:

  • take reasonable care of their own health and safety;
  • consider the impact of their actions on others;
  • follow relevant safety procedures;
  • report significant hazards, accidents or near misses where appropriate.

5. Home-office and remote working

FairSay operates primarily through a home-office environment with remote collaboration where required.

FairSay recognises that home working creates different health and safety considerations from a traditional workplace.

Reasonable steps are taken to support safe working practices, including encouraging:

  • suitable workspace arrangements;
  • appropriate lighting and ventilation;
  • reduction of trip hazards;
  • appropriate workstation setup;
  • separation between work activities and personal activities where practical.

Individuals are encouraged to maintain a sustainable working environment and raise any significant concerns that may affect their ability to work safely.

6. Display screen equipment

Much of FairSay's work involves prolonged computer use.

FairSay encourages appropriate working practices to reduce risks associated with extended screen use, including:

  • maintaining a comfortable workstation arrangement;
  • positioning screens appropriately;
  • using suitable input devices;
  • taking regular breaks;
  • adjusting working patterns where necessary.

Where equipment is provided by FairSay, reasonable consideration is given to suitability for the intended use.

7. Business travel

When undertaking business travel, FairSay aims to:

  • use safe and appropriate transport options;
  • plan journeys responsibly;
  • avoid unnecessary travel where remote alternatives are suitable;
  • consider personal safety, particularly when travelling alone.

8. Conferences and events

Where FairSay attends, supports or organises conferences, meetings or public events, reasonable steps will be taken to:

  • follow venue safety requirements;
  • identify obvious risks associated with equipment or materials;
  • ensure displays, printed materials and equipment are handled safely;
  • respond appropriately to incidents or emergencies.

9. Printing and fulfilment activities

FairSay does not operate its own printing facilities.

Where printing and fulfilment services are provided by external suppliers, those suppliers are responsible for managing their own workplace health and safety obligations.

FairSay considers supplier practices as part of broader supplier assessment, including operational reliability and responsible business practices.

10. Wellbeing

FairSay recognises that health includes both physical and mental wellbeing.

FairSay seeks to promote:

  • sustainable working practices;
  • reasonable workloads;
  • respectful communication;
  • inclusive working practices;
  • flexibility appropriate to a small business environment.

11. Incident reporting

Any accident, injury, near miss or significant health and safety concern relating to FairSay activities should be recorded and reviewed.

Where appropriate, FairSay will:

  • investigate the circumstances;
  • identify any improvements;
  • update working practices where necessary.

12. Emergency preparedness and business continuity

FairSay maintains appropriate arrangements to support continuity of operations, including:

  • secure access to essential systems;
  • appropriate backup arrangements;
  • protection of important business information.

Technology-related resilience is supported through FairSay's Backup & Recovery Procedure and security practices.

13. Contractors and suppliers

FairSay works with contractors and suppliers who are expected to maintain appropriate standards relevant to their activities.

Where contractors have access to FairSay systems or information, appropriate security and confidentiality requirements apply.

14. Continuous improvement

FairSay reviews its health and safety approach periodically and following:

  • significant changes to business activities;
  • incidents or near misses;
  • changes in legal or operational requirements.

Lessons learned are used to improve working practices.
