1. Purpose

FairSay Ltd is committed to operating the JustPost platform in a way that minimises unnecessary environmental impact while supporting meaningful public participation. We recognise that climate change, biodiversity loss and the sustainable use of natural resources are among the most significant long-term challenges facing society. We seek to play our part by making responsible decisions in how we operate our business, develop our services and select our suppliers.

2. Scope

This policy applies to FairSay Ltd, the JustPost platform, our employees, contractors and the suppliers and service providers that support our operations.

3. Our principles

We are committed to:

  • continually reducing the environmental impact of our business activities where practical and proportionate;
  • considering environmental sustainability alongside security, privacy, reliability, legal compliance and value when making business decisions;
  • supporting the responsible use of natural resources;
  • reducing unnecessary waste and encouraging efficient use of materials and energy;
  • recognising that protecting biodiversity and addressing climate change are shared responsibilities that influence how we design and operate our services.

4. Digital infrastructure

As a cloud-based platform, much of our environmental impact comes from the digital services we use.

Where practical, we seek to:

  • use efficient cloud and hosting services;
  • minimise unnecessary storage, processing and data transfer;
  • keep software maintained so that systems operate efficiently;
  • use providers that demonstrate recognised environmental or sustainability commitments where appropriate.

Where suitable services are available, we also prefer suppliers capable of hosting customer data within the European Economic Area, supporting both strong data protection and reducing unnecessary international data transfers.

5. Responsible procurement

When selecting significant suppliers, FairSay considers a range of factors including:

  • information security;
  • data protection;
  • reliability and resilience;
  • legal and regulatory compliance;
  • environmental responsibility;
  • ethical business practices.

We seek to work with suppliers that demonstrate measurable commitments to reducing their environmental impact and managing resources responsibly.

6. Purposeful physical campaigning

Unlike many digital campaigning platforms, JustPost enables the delivery of physical communications such as postcards and letters. Physical communications consume materials and transport resources, but they can also create significantly greater engagement and impact than purely digital communications.

We therefore encourage campaigns that use printed communications thoughtfully and purposefully, targeting communications where they are most likely to create meaningful civic participation rather than generating unnecessary volume.

7. Responsible Printing and Fulfilment

Printed items are an core part of the JustPost service. We recognise that printing, paper production and postal delivery have environmental impacts, and we seek to reduce these impacts through responsible choices in how printed materials are produced and fulfilled.

Where practical and appropriate, we encourage and prioritise:

  • Local and regional fulfilment: using printing and fulfilment partners located as close as practical to the intended recipients, reducing unnecessary transport and supporting efficient delivery.
  • Digital printing methods: using modern digital printing processes that are suitable for targeted campaigns and avoid unnecessary production methods with higher material or energy impacts.
  • Responsible paper choices: using paper stocks that are sourced responsibly and have recognised environmental credentials where available.
  • Avoiding unnecessary materials: avoiding additional finishes or materials, such as plastic lamination layers, where they do not provide a meaningful benefit.
  • Efficient production: designing printed materials to minimise waste through appropriate formats, quantities and production processes.
  • Transparent environmental information: information about the environmental credentials of the printing process and paper stock used, allowing recipients and campaign organisers to understand the choices made.

We recognise that different campaigns have different requirements and that environmental considerations must be balanced with accessibility, effectiveness, cost and the practical needs of campaign organisers.

Our aim is to ensure that physical communications are used purposefully and responsibly, creating meaningful engagement while avoiding unnecessary environmental impact.

8. Our operations

We seek to reduce the environmental impact of our own operations by:

  • favouring digital communication and documentation where appropriate;
  • supporting remote and hybrid working where practical;
  • reducing unnecessary travel;
  • minimising waste and encouraging recycling;
  • making efficient use of office equipment and energy.

9. Continuous improvement

We recognise that environmental management is an ongoing process. We will periodically review our practices and supplier relationships and seek practical opportunities to improve our environmental performance as our business grows.

10. Responsibility

Everyone working for or on behalf of FairSay Ltd is expected to support the principles set out in this policy and to consider environmental impacts as part of normal business decision-making.

11. Review

This policy is reviewed periodically and updated where appropriate to reflect changes in our business, technology, legal obligations and recognised good practice.
