A. Our ethical approach

A principled participation platform

JustPost is a principled participation platform operated by FairSay Ltd.

We help organisations create campaigns that allow people to participate in public discussions and advocacy by sending messages such as postcards, letters and other communications.

We believe public participation works best when it is based on:

  • honesty and accuracy;
  • respect for other people;
  • evidence, transparency and accountability;
  • protecting human dignity and rights.

JustPost does not promote any particular political party, organisation or campaign position.

However, we do apply ethical standards to the organisations and campaigns that use the platform. This means we review organisations and campaigns to help ensure they are consistent with the purpose and values of JustPost.

Approval of an organisation or campaign does not mean that FairSay agrees with every statement, opinion or campaign message published by that organisation. It means that FairSay considers the organisation and campaign to meet the standards required to use the platform.

What JustPost can be used for

JustPost can only be used for campaigns that:

  • are truthful and not deliberately misleading;
  • are based on evidence, clearly identified opinion or reasonable public debate;
  • respect human rights and widely accepted international agreements;
  • support constructive participation in society;
  • do not promote hatred, discrimination, harassment or intimidation;
  • do not use deceptive methods to create false public support, such as undisclosed artificial grassroots campaigns ("astroturfing");
  • do not create unacceptable legal, ethical or reputational risks for JustPost or its users.

FairSay may refuse, pause or remove campaigns or organisations that do not meet these standards.

B. Data protection and privacy

Who is responsible for the data?

For most JustPost campaigns:

  • the organisation running the campaign is the data controller;
  • FairSay (the owner and operator of JustPost) is the data processor.

This means the organisation decides why and how personal data is used, while JustPost securely processes that data on their behalf.

For some FairSay-created campaigns, FairSay may act as the data controller. These campaigns have their own privacy information.

What information is collected?

Depending on the campaign, JustPost may process:

  • names and contact details provided by participants;
  • messages and content submitted by participants;
  • details about campaign actions taken;
  • payment transaction information;
  • information needed to operate customer accounts.

JustPost does not store payment card details. Payments are processed securely by specialist payment providers. See our Payment Policy.

How long is data kept?

Personal data is normally kept for up to 24 months after the last use of the platform, unless:

  • a shorter period is requested by the customer; or
  • legal, financial or technical requirements require limited retention.

When data is deleted, personal information is removed or anonymised while allowing necessary records to be maintained.

Is the data secure?

We use appropriate security measures designed to protect personal information, including:

  • secure connections;
  • protected systems and infrastructure;
  • restricted access;
  • individual user accounts;
  • strong authentication practices;
  • regular software updates and security reviews.

Only authorised people and services have access to the information needed to operate JustPost.

Who can access the data?

Personal data is only shared where needed to provide the service.

This may include:

  • the organisation running the campaign;
  • trusted service providers who help operate JustPost;
  • printing and postal providers who produce and deliver campaign materials.

Service providers are selected based on their ability to provide appropriate security and data protection standards.

Where is data stored?

JustPost uses services hosted in the European Union for storing and processing customer data.

Data is not transferred outside approved locations unless required by the customer or necessary to provide the service.

C. Communications

We only contact people when necessary to provide JustPost services.

This may include:

  • helping resolve a problem with a campaign;
  • responding to questions about payments or data;
  • providing important service information.

Campaign participants are normally contacted according to the privacy policy of the organisation running the campaign.

D. Campaign content and copyright

Organisations using JustPost are responsible for ensuring they have the rights to use the campaign content they provide.

This includes:

  • campaign images;
  • logos;
  • text;
  • other materials.

Participants retain ownership of content they submit, such as messages and images.

By using JustPost, participants allow their content to be used where necessary to provide the service, including:

  • displaying campaign content;
  • printing postcards or letters;
  • storing content securely;
  • sharing campaign materials where the campaign organiser allows it.

Any additional use, such as case studies or promotional activities, will be handled in accordance with the relevant agreements and permissions.

E. Responsible business practices

FairSay Ltd, the owner and operator of JustPost, is committed to operating ethically and responsibly.

We do not tolerate:

  • modern slavery;
  • forced labour;
  • human trafficking;
  • exploitation;
  • illegal or unethical business practices.

We work with suppliers and partners that share our commitment to responsible business practices.

Our main suppliers provide services such as:

  • online hosting;
  • software services;
  • printing;
  • postal services;
  • professional support.

We consider ethical standards when selecting and managing important suppliers and will investigate credible concerns.

Need a tailored compliance agreement?

A tailored Data Protection Addendum (DPAd) can be agreed and beyond. It will be subject to the compliance fee pricing tier depending on how much of a tailored compliance process is required.

Use your own Data Processing Agreement (DPAg)?

FairSay welcomes customer DPAgs and will review reasonable amendments. Our standard compliance documents provide equivalent information and controls where customer agreements require confirmation of processing arrangements.

Tailored compliance processes are subject to the compliance fee pricing tier depending on how much of a tailored compliance process is required.
